How to set-up Voicemails

The voicemail feature is an advanced answering machine that allows the user to receive their voicemails on multiple incoming phone numbers. The voicemail is stored in our virtual servers and can be retrieved via desk phones, soft phones or even have them emailed to any mailbox.

How to set-up user voicemail

Voicemail features manage user’s telephone messages with the ability to forward and review voice messages, pager notification, custom time zone and much more. There are two type of voicemails, a user one and general one, like out of hours or busy messages. In this video we will focus on user voicemail.

Here are the quick instructions on how to set one up.
1. Login to your activeSWITCH
2. Click on extensions on the left hand menu bar
2. Click on the edit button, you will see this on the far right hand side in the row where the extension is listed.
3. Now you are in the extension environment, make sure the email address is correct, this is the email that will receive voicemail message audio file attachment
4. Click on the tab at the top named Show Advanced Options
5. Scroll down slowly, keep your eye on the right, you will see a section called voicemail will come up
6. By default the Voicemail option is on
7. Send-email option, click yes if you wish to receive your voicemails to the specified mailbox.
8. You can choose your timezone
9. Once you are happy with the settings scroll to the bottom and click Save

How to set-up group voicemail

Group Voicemail is a Group Feature in the activeSWITCH system that enables members of one voicemail group to broadcast or forward a voicemail message to all members of another voicemail group. Group voicemails are often used in Ring Groups, Queues, IVRs, Departments and Out of Hour (OOH) services.

Here are the quick instructions on how to set one up
1. Login to your activeSWITCH
2. Click on the voicemail link on the left of the menu bar
3. Click on Add voicemail
4. Give it a mailbox number, this number must be unique, you will need to enter this number when retrieving voicemails for this mailbox
5. Enter a Name for the voicemail so that you can easily identify it on the list, for this demo we will call it it Out of Hours
6. Give it a PIN, you can override the default pin to one you can remember, it must be 4 digit long, when dialling in to your voicemail to retrieve messages you will be prompted to enter this pin
7. The email address here will receive all voicemails as an attached audio file. If you want more than one person to receive these emails make sure you ask your administrator to create forward rules of this email address to their mailbox
8. Now scroll down and click on save

How to Listen to your voicemails

To listen to User Voicemails do the following;
1. From your handset dial *123
2. When prompted enter your PIN, if you don't know where to find this watch the above video, How to set-up user voicemail
3. You have now accessed your voicemail, follow the audio prompts.

To listen to Group Voicemails do the following;
1. From your handset dial *124
2. Enter the mailbox number you are looking to access

4. You have now accessed your voicemail, follow the audio prompts.
